EVENTS THAT RUN LATE

Running Late for any style event into the overtime factor will cause major financial concerns. It is critical to a budget --that social, business and wedding events be on time or prepared to bear the extra fees in overtime. Event professionals bill out overtime on a half-hour or hourly basis and place this in their contract. Read the fine print.

Example: The banquet/reception was to begin at 2:00 pm and did not begin until 3:00 pm.

If only four of your vendors add on the overtime charges, your may be paying at a rate of $250 per vendor X times

4 vendors. This equals = $1,000 more than you anticipated your bill to be. In this situation Time is Money.

There are several things you can do to run an ON-TIME event - implement one or more of the following:

a.) Discuss with each of your vendors (professionals) the exact time for each sequence. Know exactly how many hours you have the event site and your vendors booked - your entry and exit times.

b.) Go over the list of sequences several times

c.) Check your sequence for any travel time considerations.

d.) Call everyone with correct addresses, times to be there etc., so no one can say - They did not know

e.) Keep some extra time-lists on hand at the event.ask specific people to keep things on track.

* If this is too much for you to handle and not your FORTE then hire a Wedding Coordinator and have them create the time sequence for everyone - this is just one of the management areas they complete for you, but there are also Day-Of-Coordinators who come in to manage the actual days event.

* If you - personally-- are a LATE individual, move your clock far in advance of everyones and ask one of your attendants to be your clock.and keep you moving.

* Dont take relaxants or alcohol prior to any event -- it slows the thinking and the process.

* Sometimes the D.J. or Photographer may offer to run the event, this is up to you, but you should go over the process with them and find out exactly what they mean by running your event. What does this consist of? Also, if this is a wedding, they likely will not be there while you are getting ready and to the ceremony on time. (To bad because this is where most tardiness happens for brides.)

* INSIST that the person(s) who are reminding others of the TIME -- do so quietly. No clipboards or military time management methods. A simple touch on the shoulder and whisper in your ear will do to encourage you to move into the next sequence of the events.
